Library Services

- Putting Books on Reserve: Perhaps you have an extra copy of your textbooks or other required readings that you could loan to the library? If so, please consider placing copies of your instructional material on course reserve for your students. Students often struggle to purchase required course materials. Having textbooks available in the library provides your students with the opportunity to succeed.

Reprographics
Reprographics is available to assist you in making copies of all class materials. The reprographics office is open Mon. - Fri. 8am-5pm.

Self-Service Copiers
Gavilan College utilizes PaperCut to manage printing on campus. Self-service copiers are located in multiple locations around the campus. Take a look at Printing Instructions Guide.
Self-service copiers should not be used for making multiple copies of class materials. Please plan ahead so that you can use reprographics as much as possible for all your printing needs for the semester. For additional assistance, contact your area Dean or administrative assistant.
Copyrights on Syllabi and Workbooks
When using material from other sources for Syllabi or Workbooks that are to be printed and sold in the Gavilan College bookstore, it is necessary to acquire written permission from the book or magazine publisher before your job can be printed. There are no exceptions to this rule, including limited or fair use. Recently, publishers have become very strict about use and the college has adopted this policy in order to avoid any legal issues regarding material. Please contact Reprographics if you have any questions.
Media Services
Audio-Visual equipment is available for use in classrooms and special events from the Multimedia Center. Some classrooms have built-in LCD projectors, computers, DVD's and VCR's. During daytime class hours, call the Multimedia Center on the main campus at (408) 846-4906. A/V requests can also be made through the Gavilan College Intranet. Under Other Tools, complete the Gavilan Video Production Request Form. Evening and off-site instructors should contact the evening secretary or site manager and plan 72 hours in advance for any special A/V equipment.
Classroom Care
Please leave the classroom in the same condition in which you found it. At the end of each class, windows should be closed, blackboards/whiteboards erased, and desks returned to their original arrangement.
If there is a problem in your room, please discuss the needed remedy with your Department Chair or administrative assistant so that a work order can be issued.
All classrooms have room capacities. If an unusually large number of students appear at the first class session, please do not add students beyond the seats available. Discuss the class size with your Department Chair and a room change will be made whenever possible.
If you find that your room is too hot or too cold, please contact the administrative assistant for your department so that Maintenance can be notified.
EMERGENCY Procedures, Evening, and Saturdays
The main entrance gates to the college are opened at 6am, Monday through Friday, except on designated holidays. The gates close at 10pm. Monday through Friday during the fall and spring semesters, except designated holidays. For safety/security reasons, faculty and staff are directed to leave the campus before 10pm. along with students and community members who may be visiting. On Saturdays, Sundays, and holidays the gates are ONLY opened and closed according to scheduled classes and events. It is important to note, however, that security contact and hours of operation vary by campus.
Main Campus Gilroy Security
Gavilan Security Officers are non-sworn and unarmed and are available Monday through Sunday 7am-11pm. If you experience an emergency, you can:

Coyote Campus Security
The Coyote Campus always has officer presence as the Policy Academy is currently housed there. Gavilan Security officers are available on Saturdays and Sundays 7am-11pm.
Hollister Campus and Morgan Hill Campus Security
Security Officers are available Monday through Thursday 5:30pm-9:30pm.
San Martin Campus Security
The San Martin campus does not have Gavilan security officers available as they are a closed campus and they provide their own security and require a code to get thorough the gate.
If you are a victim of, or a witness to an incident on campus, we urge to complete an Incident Report Form.
We also encourage you to become familiar with our Emergency Alert System, Emergency Procedures, and Emergency Response Plan.
Information regarding campus criminal activity, evacuation, emergency response, sexual assault/violence is posted on the Gavilan College Campus Safety website.

Field Trips
Prior to organizing a field trip, you must receive approval from your Director/Dean. Field trip requests must be made at least two weeks in advance by submitting a Field Trip Request form to their Dean. Students 18 years of age and over who wish to provide their own transportation may do so if they sign a waiver form acknowledging that college transportation was available but they chose not to use it. Field Trip Request forms and waiver forms may be obtained from the appropriate Dean's office or the Business Office.
Travel and Conference
The District will pay full and part-time faculty members for all pre-authorized travel and conference expenses (Refer to the Faculty Contract Article 28). To obtain Travel and Conference information, log on to the Intranet and under "Committees" click on Faculty Professional Learning Committee, then Travel and Conference. Faculty should consult with the supervising Dean prior to submitting the form. In some cases receipts are required to be filed with reimbursement claims. These requirements accompany the forms and should be read carefully. The form must be approved by the appropriate Dean, Faculty Staff Development Committee, appropriate Vice President (and President if out of state) prior to the conference. Arrangements must be made by the faculty member for a substitute, if needed. A form must be submitted whether or not reimbursement is requested.
Veterans Resources
Gavilan College offers special assistance to veterans and dependents of disabled veterans. Pre-priority registration is granted to any member or former member of the Armed Forces of the United States who is within four years of leaving active duty. Gavilan College recognizes credit and grants credit to veterans and reservists for service and training completed in the Armed Forces. Gavilan College reports as credit for prior training only those prior units that are required for the student’s current objective at Gavilan College. Students having questions pertaining to eligibility for benefits, application procedures and other veteran matters should visit the Gavilan College Veteran's Resource Center (VRC), contact the Veteran Certifying official in the Financial Aid Office (SC124), or call 408-848-4734.

Student Life/Student Government Office
The Office of Student Life is the hub for Associated Students of Gavilan College (ASGC), registered student clubs, the Standards of Student Conduct, and a connection point for community resources and services. Through engagement in ASGC, clubs, purposeful and dynamic workshops and programs, and individual and group dialogue, students will enhance communication, critical thinking, social and organizational skills, and better understand responsibility for oneself and the community.
