Student E-mail Guidelines
Guidelines become effective Fall, 2014
1. Gavilan College use of e-mail
E-mail is a mechanism for official communication within Gavilan College. All official communications to students from Gavilan College will only be distributed to @my.gavilan.edu e-mail addresses. Gavilan College has the right to expect that such communications will be received and read in a timely fashion. Official e-mail communications from Gavilan College are intended to meet the academic and administrative needs of the college community.
2. Assignment of student e-mail
Official Gavilan College e-mail accounts are available for all admitted students. The addresses are all of the form [First Name].[Last Name][#]@my.gavilan.edu (e.g., firstname.lastname@example.org, email@example.com).
3. Redirecting of student e-mail
A student may choose to redirect Gavilan College e-mail to another e-mail address (e.g., @gmail.com, @yahoo.com) at his or her own risk. Gavilan College will not be responsible for the handling of e-mail by outside vendors. Having e-mail redirected does not absolve a student from the responsibilities associated with communication sent to his or her official Gavilan College e-mail address.
4. Expectations about student use of e-mail
Students are expected to check their Gavilan College e-mail on a frequent and consistent basis in order to stay current with college-related communications. Students have the responsibility to recognize that certain communications may be time-critical. "I didn't check my e-mail", error in forwarding mail, or e-mail returned to Gavilan College with "Mailbox Full" or "User Unknown" are not acceptable excuses for missing official Gavilan College communications via e-mail. All use of e-mail will be consistent with other Gavilan College policies and local,state, and federal laws.
5. Educational uses of e-mail
Faculty will determine how electronic forms of communication (e.g., e-mail) will be used in their classes, and may specify their requirements in the course syllabus. These "Gavilan College Student E-mail Guidelines" will ensure that all students will be able to comply with e-mail-based course requirements specified by faculty. Faculty can therefore make the assumption that students' official @my.gavilan.edu accounts are being accessed, and faculty can use e-mail for their classes accordingly.
6. Privacy of e-mail
Gavilan College uses various methods to protect the security of its computer and network resources and of its users' accounts. Users should be aware that any electronic communications and data utilizing Gavilan College owned computer and network resources potentially may be disclosed under provisions of Gavilan College, state, and federal laws and regulations.
